Connect your Zoom account to create scheduled meetings from Unifies Rooms. For meetings you choose to capture, a visible notetaker powered by Recall.ai produces a transcript that Unifies turns into reviewable commitments.
Before you start
- A Unifies account and workspace, with permission to create Rooms.
- A Zoom account permitted to schedule meetings and authorize the Unifies application. Your Zoom administrator may need to approve the app.
- Available workspace capture allowance for transcription, and a connected project-management destination if you want to deliver commitments as tasks.
Connect your Zoom account
- Sign in to Unifies and open Accounts.
- Select Add account, choose Zoom, and continue to Zoom.
- Sign in to the Zoom account you intend to use. Read the requested permissions and authorize Unifies.
- Return to Unifies and confirm that the connected account shows the expected Zoom identity.
- Assign the connected account to the intended workspace or Space using the account controls.
If you cannot connect, see Troubleshooting below. An account marked Not available yet is not enabled in that Unifies environment.
Create, update and delete meetings
Create a future Room, select Zoom and let Unifies generate the meeting link. Unifies uses the connected account to create the scheduled Zoom meeting. Share its join link with the intended participants; creating a Zoom link does not itself send calendar invitations.
The Room organizer can edit the title and schedule of a scheduled Room. For a Zoom meeting created by Unifies, the corresponding update is queued in the background. A queued message means the local change is saved; allow time for Zoom to reflect it.
Deleting an unused Room also queues deletion of its Zoom meeting when Unifies created that meeting. Rooms with capture activity, transcripts, commitments or other retained evidence cannot be deleted through this action. Use a separate unused future Room to try deletion.
Unifies does not update or delete meetings from pasted links. Replacing a generated link with another meeting link stops synchronization with the original meeting. Changes made directly in Zoom are not automatically imported through this integration.
Capture a meeting and follow through
- Schedule a Room with the intended meeting link. For the selected capture flow, the Unifies notetaker joins as a visible participant. Inform participants and obtain any required consent.
- Admit the notetaker if your meeting requires host approval. Meeting and workspace policies still apply.
- After the meeting, open its Room to inspect the transcript and drafted commitments with source quotes and timestamps.
- Review a commitment and deliver it to the workspace's configured task destination. Follow its status in Unifies.
Capture uses Recall.ai separately from the Zoom REST integration. Unifies stores transcript text, speaker labels, timestamps and derived commitments. See our Privacy Policy and subprocessors for data processing details.
Disconnect in Unifies
- Open Accounts and select the connected Zoom account.
- Choose Disconnect account and confirm.
This disables the local connection and clears its active credentials. An encrypted pending token may be retained temporarily while Unifies retries revocation at Zoom, then cleared after successful revocation. Future API actions using that account require reconnection. Queued meeting changes may fail until access is restored.
Remove the app in Zoom
- Sign in to the Zoom App Marketplace.
- Open Manage → Added Apps and select Unifies.
- Select Remove and confirm.
When Zoom delivers its signed deauthorization notification, Unifies clears the account's access, refresh and pending-revocation tokens. Disconnecting does not delete existing Zoom meetings or erase your Unifies ledger. It also does not stop a separate Recall capture already in progress; stop or cancel that capture separately in the Room.
Existing transcripts and workspace records follow the workspace's retention and deletion rules. For workspace content, contact your workspace administrator; for privacy requests, follow the instructions in the Privacy Policy.
Troubleshooting
- Authorization cancelled: return to Accounts and start the connection again.
- Administrator approval required: ask your Zoom account administrator to approve Unifies.
- Expired or revoked connection: reconnect the same Zoom account before retrying the action.
- Meeting change still queued: allow time for background processing. If it does not appear, contact support with the Room identifier and time of the action.
- Deletion refused: the Room may have capture activity or retained evidence. This action does not erase captured work.
- No transcript: check the meeting link, host admission and capture allowance. Authorizing Zoom alone does not grant access to existing cloud recordings or transcripts.
